PITTSBURG ARTS COUNCIL CANCELLATION POLICY

At PACA, we deeply value the dedication of our artists, volunteers, and community members in making the ArtWalk a success. To ensure fairness and consistency, we have established the following cancellation and dispute guidelines. These policies aim to maintain a well-organized event and protect the collective efforts of all participants.


Artist Cancellation

  • Artists unable to attend must notify PACA immediately.
  • Failure to provide notice of non-attendance may result in disqualification from future ArtWalk events.
  • Under certain circumstances, canceled participation may roll over to a future ArtWalk at PACA’s discretion.


Weather-Related Cancellation

  • In the event of severe weather, the ArtWalk will follow a designated rain date.
  • All standard ArtWalk policies will apply on the rain date.
  • Due to the resources and efforts involved in event promotion, refunds will not be issued in the case of a weather-related reschedule.


Force Majeure

  • If non-weather-related unforeseen circumstances (force majeure) result in event cancellation, artists will receive a full booth fee credit to apply toward the next ArtWalk.


Vendor Cancellation

  • Vendors canceling more than two weeks before the event will receive a 50% refund of their booth fee.
  • Cancellations within two weeks of the event are not eligible for refunds due to incurred costs related to promotion and advertising.


Dispute Resolution

  • PACA reserves the right to refuse participation to any vendor, organization, or artist at its discretion.
  • Disputes will be addressed in accordance with the City of Pittsburg’s legal guidelines, beginning with a discussion involving PACA’s board.
  • If a resolution cannot be reached, mediation will involve a neutral party, specifically the Community Development Specialist of the City of Pittsburg.
  • PACA is not financially liable beyond the fees paid by the complainant.


This cancellation policy ensures a fair and supportive environment for all participants while respecting the time and resources dedicated by PACA volunteers. Your cooperation helps us create a positive and successful community event.
